General Meeting Minutes

Meeting called to order at 6:36 PM by Wade Prevatt.
Executive Committee Updates
Approval of Minutes: Wade Prevatt presented the January minutes for approval. Harry L. moved to
approve the minutes, Gary F. seconded, motion passed.
Monthly meeting meetings are now posted on the HistoryAndNature.org webpage under “Governance”
and then “Meeting Minutes” tab.
Treasury Report:
The CSO is still awaiting full access to Bank account, beginning and ending balances will be updated
once access is finalized in the coming weeks. Richard presented the January 2026 financial activity.

Old Business
Washing machine in Volunteer Village is broken again. - It remains under warranty until 2028, so
replacement is not recommended. A repair technician is scheduled for Thursday, February 5th.
The board will revisit the issue after the technician’s assessment.
New Business

Fort Foster Days is February 14th-15th, 2026. Report by Harry Lindenmuth - Five vendors are currently signed up. Twelve Seminole reenactors confirmed; more “cowboy” reenactors are needed.
Discussion on providing food for reenactors; Sue suggested BBQ options from a restaurant or Sam’s Club. -
Vendor Fees- At previous event a $35 trader fee was charged. For this year’s event Trader Fees are $35 and Boondocking Fees are $25 for a total of $60 per vendor.

Vendor Placement - Vendors inside the fort must be historically accurate to the Seminole War Era. Vendors in the parking lot do not require historical accuracy.

PortaPotties - CSO owns eight units. Cleaning all units will be scheduled on 2/20/26.

Volunteers Needed- We will need 4–6 parking volunteers, 1 golf cart driver for handicapped visitor transport and a volunteer for meal distribution –

CSO will seek out a donated meal for approximately 50 volunteers for Sunday.
Fire Team Shirts - Cheryl (Park Ranger) requested new fire team shirts. Approximately 30 shirts needed. Simmons Engraving suggested; additional quotes will be obtained, must be fire rated.
Firewood sales were slower due to the burn ban and wind advisories. - Three pastdue RTK
invoices will be paid once account access is restored. Also looking for an additional firewood vendor.
Media & Advertising Updates – Danny is working to professionalize CSO advertising and branding. New Fort Foster flyers, table wraps, and CSO tent banners are in development. Danny will design all materials himself, keeping the same theme throughout.
Zeffy Payment Reminder – Wade Prevatt stated that volunteers must wait for the screen to fully display a confirmation of “Thanks for your payment” before releasing merchandise. Some payments have timed out before completion, resulting in unpaid items.

Volunteer Appreciation Day - March 4, 2026 from 9:30 a.m. – 1:00 p.m.

Exploring dunk tank, will need volunteers to dunk.

Boy Scouts, and High School involvement/volunteers.

Food truck vendors will be charged $50 for one day.

Event is from 10:00 a.m. – 2:00 p.m.

Volunteers should arrive by 9:00 a.m.

Meredith will coordinate with Barbie on Earth Day flyers.

Barbie is looking for CSO to donate Giveaways for completed Earth Day Passports, no silicone bands.
Haunted Woods- October 16th-17th 2026. First planning meeting will be scheduled in the coming months. Volunteer recruitment will begin at the same time.
